Team Collaboration Setup in LinkySend
LinkySend's team collaboration features allow multiple people to create, review, and publish content from a shared workspace. Whether you are a marketing team, a social media agency, or a freelancer managing client accounts, LinkySend's role-based access control and approval workflows keep your publishing process organised and error-free. Team features (up to 5 members on Team, unlimited on Agency, plus the approval workflow) depend on your plan — see the Pricing page: /pricing.
Inviting Team Members
To invite a team member, go to Settings → Team and click the "Invite member" button. Enter the person's email address and select their role. They will receive an email invitation with a link to accept and join your workspace. Invited members without an existing LinkySend account will be prompted to create one — they do not need a paid plan of their own; they are covered by your subscription.
- 1Go to Settings → Team in your LinkySend dashboard.
- 2Click "Invite member".
- 3Enter the team member's email address.
- 4Select their role: Admin, Editor, or Viewer.
- 5Click "Send invitation".
- 6The invitee receives an email and accepts to join your workspace.
Roles and Permissions
LinkySend has three team roles. Admin: full access to all features, including billing, connected accounts, team management, and publishing. Admins can invite and remove other members. Editor: can create, edit, schedule, and publish posts (subject to approval workflow settings), but cannot access billing or remove team members. Viewer: read-only access to the dashboard, post history, and analytics — cannot create or publish posts. Permissions can be further customised per connected account — for example, restricting an Editor to only publish to specific social accounts.
Approval Workflows
The approval workflow adds a mandatory review step before any post created by an Editor is published or scheduled. To enable it, go to Settings → Team → Approval Workflow and toggle it on. When an Editor submits a post for approval, all Admin members receive a push notification and email. Admins can preview the post, leave comments, and either approve (which immediately publishes or schedules it) or reject it (sending it back to the Editor with comments). The entire approval trail is logged in the post's activity history.
Managing Client Workspaces
If you are a social media agency, you can create separate workspaces for each client (the number of workspaces depends on your plan — see the Pricing page: /pricing). Each workspace has its own set of connected social accounts, post history, and team members. Clients can be invited as Viewers so they can monitor activity without being able to publish. Go to Settings → Workspaces → New Workspace to create a client workspace. You can switch between workspaces using the workspace switcher in the top-left corner of the dashboard.
FAQ
How many team members can I invite?
Team includes up to 5 members and Agency includes unlimited members. See the Pricing page: /pricing.
Can Editors publish without approval?
Yes, if the approval workflow is disabled. Enabling the approval workflow in Settings → Team → Approval Workflow makes all Editor posts require Admin approval before they go live.
Do invited team members need their own LinkySend subscription?
No. Team members invited to your workspace are covered by your subscription. They do not pay separately and do not need their own account.
Can I restrict a team member to only certain social accounts?
Yes. After inviting a member, click their name in the Team list and go to the "Account access" tab. Toggle individual social accounts on or off for that member. An Editor with access to only two accounts cannot see or publish to any other accounts in the workspace.
Set up your team in LinkySend and collaborate on social media publishing without chaos. See the Pricing page (/pricing) to pick the right plan.
